Summary

Coaching: You will be primarily coached by the CEO/CTO/CFO/COO Of the company as well as get help directly from the rest of the company’s team.
Work Days: Sun-Thursday
Work Hours: 35 Hours/week (9 AM – 4 PM Schedule)

Job
The Operations and Administration Officer will be a crucial member of our team, working under the direct supervision of the COO and reporting to both the COO and CEO. This role encompasses both administrational and operational responsibilities, aimed at enhancing the overall efficiency and productivity of the company. The officer will assist in organizing internal operations, managing schedules, and ensuring timely project deliveries with the help of the Project Management.
General Description
The Operations and Administration Officer will play a dual pivotal role, combining administrative efficiency with operational effectiveness. This position requires a proactive approach to internal organization, ensuring that schedules are meticulously managed and information is consistently updated. The officer will be instrumental in project management, from inception to delivery, ensuring seamless communication and adherence to timelines.
The candidate should be detail-oriented, with excellent organizational and multitasking abilities. A strong communicator, they will work closely with C-level managers and various teams to ensure alignment with company goals and policies.
Additionally, the officer is expected to develop professionally by acquiring three different courses in the first year, including organizational, management and operations courses funded by the company.
Key Responsibilities
Administrational Responsibilities
- Assist the COO in organizing and maintaining company schedules.
- Ensure that all internal information is up-to-date in the system.
- Carry out internal administrational tasks alongside the COO.
- Report regularly on administrative matters.
- Engage directly with the CEO for appointments, schedules, and deadlines.
- Increase team productivity and overall company efficiency through organizational optimization techniques.
- Support the CTO and CFO in managing work and helping employees adhere to internal policies.
- Facilitate employees in following their development plans.
Operational Responsibilities
- Work with the COO in managing projects and ensuring on-time deliveries.
- Remind the team of work schedules and deadlines.
- Maintain an up-to-date system for project management.
- Assist in correspondence and customer communication regarding requirements and project details.
- Be involved from the contracting phase of projects to ensure smooth transitions to the go-live phase.
- Coordinate with the Support and Quality team to ensure they carry out their schedules and reports on time.
