Report to: General Manager.
Job Purpose: assisting with facilitating operations of the company alongside the in-company administrators.
The duties of the Administrative Assistant will vary depending on the needs of the operations.
Key responsibilities:
- – Perform receptionist duties: greet visitors, answer their questions and orient them to appropriate offices and meeting rooms; answer the telephone, ascertain the nature of the caller’s business; provide information or direct inquiries, as required.
- – Perform various computer software, word processing, typing responsibilities and written communication skills, such as, forms, programs, correspondence, handbooks, schedules and a variety of reports.
- – Perform clerical duties such as mail distribution, collating, filing, recording, sorting, duplicating, laminating and related duties.
- – Enter/maintain data and generate reports in the management information system, accounting and administrative system, as required by the direct supervisor.
- – Complete purchase orders for office and project supplies as demand for the authorization letter from the financial office, check orders received and distribute to appropriate staff, and maintain an inventory of office supplies.
- – Be knowledgeable about and supportive of administrative procedures and directives.
Qualifications:
- – A University degree is the minimum required.
- – working English proficiency.
- – A minimum of one-year office or an administrative assistant experience.
- – Knowledge of basic administrative practices.

- – – Superior interpersonal and communication skills, both verbal and written.
- – Excellent listening skills and ability to carry out directions in a timely manner.
- – Excellent time management skills, including punctuality.
- – Ability to work as a team with the other staff.
- – Ability to work independently with minimum supervision.

- – Ability to maintain strict confidentiality.
- – Ability to deal effectively with a broad range of members of the public.
